Postion Details:

Responsible for coordination and support of various events throughout the calendar year.  Partner with Event Technology Manager in the execution and monitoring of event planning tasks and own the reporting, registration, and measurement of various events.

 

You Will:

  • Assist with event logistics including, but not limited to, the writing and distribution of event-related communications, collection of registration data, scheduling of prep calls, maintenance of event-related data, arranging catering, transportation, etc.
  • Management of event team email box – flagging of, escalating, and/or responding to emails
  • Coordinate various smaller events, if needed
  • Own reporting for events, i.e. building and running air travel manifests, registration and/or housing reports, lead capture/measurement reports thru internal travel resources and third party vendors
  • Assist with development of event-related tools, technology (SmartSheet) and templates required to assist with event processes.
  • Be the expert in event team registration and lead capture technology
    • Registration:
      • Consult with planners on registration needs to customize, build, and manage registration, housing, and air travel tools via internal technology or in partnership with 3rd party vendor(s) that meets the specific needs of each event
      • Ensure a user-friendly and seamless registration process for attendees.
    • Lead Capture:
      • Build lead capture forms for events requiring lead capture technology to facilitate data capture at events.
      • Manage lead retrieval systems, including scanning badges, QR codes, or other innovative technologies
      • Lead training calls with exhibitors on how to capture leads
  • Assist team onsite with execution at small to large events

 

You Have:

  • Bachelor’s degree in related field (i.e. Business, Marketing, Communications, or Event Planning) with an emphasis in project management
  • Detail orientated, strong organization, collaboration, interpersonal communication and conflict management skills
  • Strong cross-functional team orientation and proven ability to work successfully in a matrix organization
  • A strategic thinker with proven ability to streamline processes for maximum efficiency, identify process opportunities and recommend solutions.
  • A self-starter with the ability to work independently and proactively without supervision.
  • Strong decision making and troubleshooting skills.
  • Ability to quickly gain proficiency in multiple software packages including MS Office (Excel, Access, SmartSheet), SAP, and event specific softwares (Stova/Aventri, Cvent, Captello, etc.)
  • Ability to adjust to a variety of different tasks during the workday
  • Self- motivated and possessing a value for excellence in job performance
