Position Description

We are currently hiring for our new state-of-the-art Distribution Center in Louisville, Kentucky! Under general direction, the Facilities Admin Assistant, reporting to the Senior Manager, Distribution Operations, will be responsible to drive maintenance processes and sustain the CMMS, parts ordering, task entry, inventory management and department expenses, tracking and reporting financial records.

Principal Duties and Responsiblilities:

  • Provide general administrative support to the Facilities Manager, department or team by efficiently executing duties involving the CMMS and ordering of parts to meet business objectives.
  • Work with the Maintenance DC Network team to implement standardization.
  • Assist in complete daily data entry into the CMMS, not limited to facility asset management, Parts and Task entry, PM setup and Asset setup.
  • Assist the Facilities Manager in the monthly, quarterly and annual tracking and updating financial records.
  • Update Maintenance Performance Metrics. 
  • Complete Purchasing and Parts Ordering forms for the office and forward for approval and processing by P-card or SRM.
  • Must be able to source parts through Grainger website and outside vendors.
  • Parts put-away in multiple locations of the facility.
  • Track departmental parts usage and discrepancies along with reports.
  • Locate and gather information from the appropriate source to assist in resolving issues. 
  • Maintain parts inventory by daily cycle counting and count reconciliation for a parts room exceeding $1.5M in value.
  • Initiate Capital Appropriation Requests and RFQ/RFPs from various vendors.
  • Maintain Condiment/Janitorial supplies/Bench stock through Keep Stock.
Position Requirements:
  • Advanced working knowledge of Microsoft office suite (Word, Excel, PowerPoint etc.,).
  • Ability to convey essential information clearly and concisely in written, electronic and verbal form.
  • Ability to meet deadlines.
  • Excellent attention to detail and proofread documents for grammar, spelling and punctuation.
  • Demonstrate ability to handle multiple projects and priorities
    yet be flexible to change.
  • Ability to work with all levels of employees in a professional manner.
  • Ability to maintain and manage Company and personnel information in a confidential manner is a must.
  • Must be able to occasionally adjust work shift and work overtime when needed.
  • SAP knowledge is a plus.
  • Maintenance knowledge is a plus.
  • Must be able to tolerate an environment with exposure to heat, cold, noise, dust and work around moving equipment
  • Position must operate in compliance with OSHA and Hazardous Materials guidelines.
  • Able to work in a team environment
  • Must be able to interface with a mult-shift operation and physically frequent all team member work areas.
