Legal Sr. Administrative Assistant

KEY RESPONSIBILITIES: 

  • Effectively manage time through proactive calendar management and scheduling, including assisting in the preparation of any necessary documentation (e.g., agenda, presentations) for scheduled events.
  • Act as a partner and team member collaborating closely with all levels of the Legal Department including other Executive Administrative Professionals and Paralegals.  Additionally, able to partner and collaborate with Grainger Administrative Professionals to establish, evolve and communicate the Grainger expectations and standards for the Administrative Business Partners. 
  • Acts as a point of contact for general department inquiries, providing superior customer service and ensuring incoming requests (e.g. emails, phone calls, visitors, etc.) are prioritized and handled in a timely and professional manner. 
  • Anticipate problems and ask probing questions to respond effectively.
  • Coordinate onsite and offsite meeting planning including conference room reservations, meeting setup and implementation (including technology) and vendor management. 
  • Schedule and manage general business travel logistics and ensure leader has necessary documentation for travel (international and domestic).
  • Prepare expense reports and reconcile departmental expenses according to the T & E policy; resolve discrepancies as appropriate.
  • Process invoices and check requests, as needed.
  • Organize, maintain and update various paper and electronic documents including composing, modifying, proofreading, disseminating or filing (e.g. memo/letter, emails, reports, PowerPoint presentation, SharePoint updates, spreadsheets, surveys, organizational charts or records management).
  • Participate in department projects and functions including, but not limited to, training and team meetings.

REQUIRED EXPERIENCES AND COMPETENCIES:  

  • High School diploma or equivalent, and three to five years of administrative support and secretarial experience.  Degree preferred.
  • 1-5 years of experience as an administrative assistant (preferably in a law firm or in a corporate legal department), legal assistant, legal secretary, or paralegal
  • Ability to deliver exceptional customer service.
  • Ability to type 50 WPM and proficiently use Microsoft Office 365: Word, Excel, Powerpoint. Able to learn and use other software as needed.
  • Uncompromising use of discretion and commitment to confidentiality.
  • Excellent written and oral communication skills and the ability to effectively prioritize multiple tasks to meet deadlines are a must.
  • Demonstrated ability effectively multi-task.
  • Strong organizational skills and an aggressive problem-solving ability are critical.
  • Detail-oriented and highly organized.
  • Ability to work independently, manage large workloads, and keep deadlines.
