 Compensation

The anticipated base pay compensation range for this position is $65,900.00  to $109,800.00.

Individual base pay compensation will depend, in part, on factors such as geographic work location and relevant experience and skills.

Position Details: 

This is a hybrid role, supporting multiple teams across the Corporate Affairs Legal Department. You will support the records and information management team in records filing, tracking, retrieving and retention for at least 50% of the time. This role will also have responsibilities for supporting the team on key processes such as invoice and matter management, document management, inboxes and routing. You will become a key contact for CounselLink, our legal vendor management tool, and help coordinate payments and documents across the Corporate Affairs team. Finally, you will work with the Intellectual Property team with signing, scanning, FedExing, notarizing international filing forms for hundreds of filings.   

 

You Will: 

  • Observe confidentiality in all matters 

  • Responsibly conduct the intake and catalog of all records, including verifying accuracy 

  • Facilitate the retrieval of records from storage facilities and ensuring all records are returned and refiled 

  • Manage record retention system, either InSight or Purview, enterprise-wide 

  • Support maintenance of our CounselLink tool: 

  • Opening matters (legal system) 

  • Setting up vendors 

  • Sending out approval and accrual reminders 

  • Helps manage the records management software 

  • File, retrieve, index, scan and destroy files and materials 

  • Organize IP responses and filings 

  • Manage smartsheets with IP holdings and deadlines 

  • Going into CSC to read / route requests that come in 

  • Supporting managing the Legal Inbox 

  • Routing documents for signature 

  • Reviewing invoices 

  • Making updates to Smartsheets 

  • Sending Fedex 

  • Completing filing forms 

  • Scanning 

 

You Have: 

  • A paralegal certificate and 2+ years experience 

  • A willingness to experiment with continuous improvement and driving standard work 

  • A keen attention to detail and an ability to follow standard work instructions 

  • An ability to coordinate with a large number of stakeholders and update them on the status of work 

  • Superior verbal and written communication skills.  

  • Superior organizational skills and attention to detail.   

  • Ability to work efficiently in a fast-paced environment with or without direct supervision.   

  • Advanced knowledge of the Microsoft Office Suite and legal systems/tools.  

  • Familiarity with electronic matter management (i.e. CounselLink) and DocuSign/Adobe Sign systems is a plus.  

  • Integrity and commitment to the highest ethical standards and personal values. 

  • A team orientation and “can do” attitude and the ability to get along with diverse corporate professionals and work with personnel at all levels within the organization.
