Primary Function:

Under general direction, provide administrative support to Business Systems and Operations Directors by efficiently executing GTG processes to meet business objectives.

 

Principal Duties & Responsibilities:

  • Field telephone calls, receiving and directing visitors
  • Efficient and effective Time Management skills and organizational priorities.
  • Professional verbal and written communication skills for varying levels of leadership
  • Locate and gather information from the appropriate source to assist in resolving business issues.  Pursue information that may not be readily available.
  • Compose, modify, and proofread correspondence, reports, or presentations from rough drafts, general instruction or based on special knowledge of area and Company.
  • Schedule meetings, conference room and make travel arrangements as necessary.
  • Oversee calendar, schedule appointments on behalf of Director.
  • Open, sort, prioritize, and distribute all department mail and process outgoing mail.  Take action where appropriate.
  • Organize building activities / event and coordinate onsite facilities work with HQ based facilities team.
  • Monitor and maintain office supply inventory and place orders as needed.
  • Prepare personnel, purchasing and other administrative forms for the office and forward for approval and processing.

 

Preferred Education & Experience:

  • High School diploma or equivalent
  • Demonstrate ability to handle multiple projects and priorities, yet responsive to changes in those priorities. 
  • Possess good attention to detail and the ability to proofread documents for correct grammar, spelling and punctuation.
  • Ability to complete assignments within established timeframes.
  • Demonstrate effective analytical skills to handle routine situations.

  • Material prepared may be used as a basis for management decisions, and errors could have significant costs.
