PRIMARY FUNCTION
As a Recruitment Assistant, you will support the end-to-end recruitment and pre-hire processes, ensuring a seamless candidate and hiring manager experience. This role will primarily focus on interview scheduling, candidate assessments, onboarding coordination, and supporting background checks and pre-employment requirements.
MAIN DUTIES & RESPONSIBILITIES
- Coordinate and schedule interviews across multiple stakeholders, ensuring timely communication with candidates and hiring teams.
- Administer and track candidate assessments, ensuring completion and proper documentation of results.
- Support onboarding activities, including pre-hire documentation, system entries, and communication with new hires.
- Assist with background check processes, including submission, follow-up, and issue resolution.
- Monitor and ensure completion of all pre-employment requirements (e.g., documentation, compliance forms, references).
- Maintain accurate candidate records and update recruitment systems and trackers.
- Act as a point of contact for candidates, providing professional and timely updates throughout the recruitment process.
- Collaborate with recruiters and hiring managers to ensure a smooth and efficient hiring experience.
- Identify process improvement opportunities to enhance recruitment operations and candidate experience.
- Support reporting and audits by maintaining organized records and ensuring data accuracy.
- Provide general administrative support to the Talent Acquisition team as needed.
EDUCATION & EXPERIENCE
- 1–2 years of experience in recruitment coordination, HR, or administrative support, or equivalent experience.
- Basic understanding of recruitment lifecycle and onboarding processes.
- Experience using Microsoft Office products (Teams, Outlook, Word, Excel) is required. Experience with ATS systems (e.g., SuccessFactors, Workday) or case management tools is preferred.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- High attention to detail and strong follow-through capabilities.
- Customer-service oriented mindset with the ability to build relationships with candidates and internal stakeholders.
- Ability to handle sensitive and confidential information with discretion.
- Strong problem-solving skills and a continuous improvement mindset.
