Procurement Fleet Specialist

 Primary Function

The Procurement Fleet Specialist will be responsible for coordination and administration of enterprise-wide Fleet program. This position will support operational activities of Fleet and Mileage Reimbursement Programs, including new vehicle ordering and delivery, vehicle relocations, state transfers, registration renewals, program updates, driver onboarding, reporting and policy compliance. Facilitates Grainger’s needs with internal business partners and external 3rd party service providers, fleet management companies, along with OEMs. 


Principal Duties and Responsibilities

  • Job is an individual contributor and has no direct reports
  • Establishes and maintains all data and information pertaining to new vehicle ordering, driver onboarding, vehicle relocation, monthly operational metrics, used vehicle remarketing values.
  • Ensures that appropriate records are maintained and completed for all vehicle orders based on stakeholder requirements.
  • Supports driver compliance with all fleet policies and programs.
  • Executes training curriculum to support program policies and procedures.
  • Coordinates with audit to execute non-compliance actions.
  • Partners with stakeholders pertaining to new vehicle orders, driver information, vehicle relocations, and related program procedures.
  • Maintains ongoing communications with fleet management companies, OEMs and other third party suppliers during vehicle delivery process.
  • Monitors performance against predetermined metrics for specific fleet processes in order to minimize cycle time and cost.
  • Responds to questions from stakeholders regarding policies, procedures and guidelines in addition to maintaining Program SharePoint site.
  • Identifies improvement opportunities and recommendations, implement solutions and measures results.
  • Supports relationships with internal customers and external suppliers.


    Preferred Education and Experience


  • Bachelor’s degree, preferred, or equivalent work experience.
  • Will strongly consider recently college graduates with internship experience.
  • Strong interpersonal skills that foster collaboration within team, with business partners and with cross-functional teams.
  • Demonstrated ability to multitask, quickly learn and become competent in, and effectively apply new skills.
  • Advanced MS Office, SAP and other company systems.
  • 1 to 3 years progressive fleet operational experience. 3rd party reimbursement programs, vehicles, light/medium/heavy duty trucks, up-fitting, production, and fuel purchasing practices a plus but not necessary.
  • Work Environment

  • The position hours are standard office hours.
  • There is minimal travel (10%) required and minimal physical activity require



  • This position has secondary impact on sales force operations, field sales operations, customer service, mergers & acquisitions and operations across the company.
  • The position has secondary impact on fleet asset base of 655+ vehicles, 700+ drivers
  • Impact of errors could be delays in asset deployment and incremental cost for affected business units. Cost could be moderate and impact to annual expense and capital expenditures.
